It may be financially beneficial to sign up as a member of your state palliative care organisation prior to registering for the conference to access the discounted member rate. 

Group Discount: Available to member organisations or workplaces registering five or more delegates in the same transaction. 

Carers, Students or Volunteers: Carers or Students are to upload carer/student identification cards from a recognised government organisation, a tertiary or secondary educational institution or international student card. Students must be studying full time; and Volunteers must upload proof of their volunteer status with a palliative care organisation to qualify for the discounted rates.

Presenter registrations: Will be a flat rate of A$965 (full conference) or $495 (day only) and applicable to accepted abstract authors from April 2019 when notifications are made. If presenters have already registered, their registration will automatically be changed to reflect Presenter.

A number of networking events will be featured throughout the 4-day conference program. For now the following additional tickets can be purchased. Additional social functions, along with pre-conference workshops and tours will be available and added to the online registration portal in early 2019.

Registration Fees 

Registrations will be acknowledged in writing to the email address nominated with confirmation of requirements according to the registration form submitted. A tax invoice will be attached to this email. If you have not received a written confirmation within seven days, please contact 19OPCC Event Managers at info@oceanicpallcare.com

Payment Methods

Please use our secure booking form on this website to register and book your registration and accommodation in ‘real time’. Accepted credit cards include Mastercard, Visa and American Express. Please note all transactions by credit card will appear on your statement as payment to ‘Conference by EECW’.

EFT – Bank Transfer
The Conference will be accepting EFT/Bank Transfer as a form of payment. To receive the payment details, please click the ‘invoice’ option on the payment page of the registration form. An invoice will be sent to the email you have registered with and EFT details and instructions will be supplied on the invoice. Please ensure your include the tax invoice number on the invoice when making the bank transfer to ensure the payment is matched with your registration.

Cheque
All payments by cheque will only be accepted up 6 August 2019. Please register and complete the registration form online, print a copy of your tax invoice and send with the cheque to 47 Hampden Rd, Nedlands WA 6009 Australia.

Cheques are to be made payable to Oceanic Palliative Care Conference 2019. Your name and full address should be typed or printed clearly on the back of the cheque. Cheque payments from overseas must be a bank cheque in Australian Dollars drawn on an Australian Bank. No other currency will be accepted.

All registration cancellations must be received in writing to info@oceanicpallcare.com. Substitutes are welcome. 

Cancellations before 1 July 2019 will incur an A$150.00 cancellation fee.

Cancellations from 2 July 2019 to 5 August 2019 will incur a 50% cancellation fee.

Cancellations on or after 6 August 2018 will receive no refund.

Failure to attend without prior notice – no refund 

Transfers of delegate names attending will be accepted in writing.

Accommodation: Each hotel has its unique cancellation policy. Please ensure you read the terms and conditions and cancellation policy for the property you select (acccomodation). You will be asked to provide a credit card to guarantee your booking when you register. This is held in a secure place and the card will not be charged at time of registration unless it is a condition of the property selected.

Social: Payments are non-refundable at 6 August 2019

Registration rates will increase in line with supplier timeframes and costs. The following rates will be reflected in the online registration portal when dates occur.

In the event of industrial disruption or other unforeseen circumstances, the Host, Organizing Committee and Encanta Event Management accept no responsibility for loss of monies incurred by delay or cancellation. 

When you register you will be asked to nominate if you will be attending the inclusive social events included as part of your registration fee. If you are not sure please select “attending”. If you select “not attending” for a social function included as part of your registration fee, you will forfeit your ticket to that function. It may be possible to reinstate your place provided Encanta receives a minimum of ten working days notice in writing prior to the commencement of the conference, but this cannot be guaranteed and is subject to availability. 

The information provided on the website is correct at time of publishing. The organisers reserve the right to delete, modify or alter items from the program or to delete, modify or alter any aspect of the Conference timetabling and delivery at their sole discretion and without notice. Neither the host organisation(s) nor the Conference Managers will accept any liability for any loss or inconvenience caused to any party consequent to such changes.

The Conference Managers reserve the right to use any recordings whether audio or video and/or any photographs taken at any stage during the Conference for promotional, advertising or reporting of the Conference and/or its content at their sole discretion.

Registration fees do not include insurance of any kind. It is strongly recommended that all delegates take out their own travel and medical insurance prior to coming to the meeting. The policy should include loss of fees/ deposit through cancellation of your participation in the meeting, or through cancellation of the meeting itself, loss of airfares for any reason, medical expenses, loss or damage to personal property, additional expenses and repatriation should travel arrangements have to be altered. Neither the meeting secretariat nor the organising committee will take any responsibility for any participant failing to insure. Please speak to your travel agent or airline in regard to this matter.

Warning – Fraudulent Websites and Booking Agencies

The meeting industry is confronted with an increasing number of fraudulent websites that impersonate legitimate meeting websites, and booking agencies that are not authorised to make bookings for meeting participants.

Encanta Event Management wishes to advise 19OPCC delegates to be aware of possible scams and urges all participants to only use the official website oceanicpallcare.com.

Encanta Event Management is the only official accommodation agency for this conference. If you are contacted by any other company or agency offering accommodation for 19OPCC, please note that these companies are not authorised to represent 19OPCC in any way, nor do they have access to the officially contracted room blocks or rates.

Imitation sites and agencies invite meeting participants to supply their personal details including credit card information, in return for a promise to provide travel and accommodation. Please be aware that these unauthorised companies might not deliver what they promise, and in fact may not deliver anything to the meeting participant at all despite charging the credit card.

The 19OPCC host organisation(s) and the Conference Managers comply with these legislations and are committed to protect the right of the individual to privacy of their information.

We will not sell your personal information to third parties.  If you believe that any information we are holding on you is incorrect or incomplete, please email us and we will promptly correct the information.  You may also withdraw your consent for use of your information by advice to us in writing.

Why do we wish you to provide your information?

We require your information to facilitate provision of information to you regarding the Conference and to facilitate your participation in the Conference.  Information collected in respect of your proposed participation in any aspect of the Conference will be used for the purposes listed below.  You can give or withhold your consent for each or all of these uses.  Please indicate your preferences when completing your registration form but please note that we will be unable to forward any information relating to the Conference or to communicate with you regarding your registration if you select ‘no’ to point 1.

What we will do with your information?
  1. Planning and conduct of the Conference including arrangements for your participation (e.g. accommodation booking);
  2. In the Delegate List published for the Conference;
  3. May also be provided to organisers of future occurrences of this Conference;
  4. May be used to provide you with information of other relevant events in your area of interest.
Important Notes
  • The parties who will have access to your information (subject to your preference selections on above points) are the Conference Managers, the Conference host organisation (points 1 and point 4), delegates, sponsors and exhibitors of the Conference (point 2) and any future organisers of the Conference (point 3).

The parties mentioned above will rely on your above consent indications for the purposes of compliance.

  • You may withdraw your granular consent at any time by notice in writing to the Conference Managers.
  • You are entitled to access the information held by written application to the Conference Managers.
